How to Start a Business: The Financial Setup Checklist

Getting the financial foundations right from day one saves you from expensive problems later. Here's the complete setup checklist.

Financial Foundations First

The excitement of starting a new business makes it tempting to focus entirely on the product, the customers, and the brand - and to treat financial setup as paperwork to be dealt with later. This is a common mistake that creates compounding problems. A business with proper financial infrastructure from day one has accurate records, complies with tax obligations, builds credit, and makes better decisions. A business that defers financial setup often finds itself scrambling to reconstruct records for a tax return, facing penalties for missed registrations, or unable to understand its own financial performance.

This checklist covers everything you need to set up the financial side of a new business correctly. Work through it systematically - ideally before you make your first sale.

  • Choose your legal structure: sole trader, partnership, limited company, or LLP. Each has different tax, liability, and compliance implications - consult an accountant if you're unsure. Related reading: sole trader vs. limited company: which is right for you?
  • Register with the appropriate authority: sole traders register with HMRC for Self Assessment; limited companies register with Companies House
  • Apply for a VAT number if your taxable turnover exceeds or will exceed £90,000 (2024/25 threshold), or consider voluntary registration if clients can reclaim VAT
  • Register as an employer with HMRC if you'll be hiring employees from day one

Banking and Cash Infrastructure

  • Open a dedicated business bank account. Never use a personal account for business transactions
  • Set up a business savings account for tax reserves - transfer a percentage of every payment received as you go
  • Apply for a business credit card for expenses that benefit from card protections or rewards
  • Set up your payment processing: how will clients pay you? Bank transfer, card payment, PayPal, Stripe?

Accounting and Bookkeeping

  • Choose and set up cloud accounting software - this is the financial hub of your business
  • Connect your bank account via open banking for automatic transaction import
  • Configure your chart of accounts for your specific business type
  • Set up your invoice template with your business details, payment terms, and bank details
  • Establish an expense capture system - app, email folder, or physical folder - and commit to capturing receipts in real time
  • Set a recurring weekly bookkeeping appointment in your calendar

Tax Obligations to Register For

  • Sole trader: register for Self Assessment by 5 October following your first tax year of trading
  • Limited company: register for corporation tax with HMRC within three months of starting to trade
  • Register for VAT if applicable (see above)
  • Register as an employer if hiring from day one
  • Understand your tax payment deadlines before they arrive - not after

Insurance and Protection

  • Public liability insurance (essential if clients visit your premises or you visit theirs)
  • Professional indemnity insurance (essential for service businesses and consultants)
  • Employers' liability insurance (legally required if you have employees)
  • Contents and equipment insurance if you have significant physical assets

Financial Planning Basics

  • Prepare a simple 12-month cash flow forecast before trading: projected income, costs, and resulting cash position each month
  • Identify your break-even point: the minimum monthly revenue needed to cover all costs
  • Set your pricing to deliver the gross margin needed to cover overhead and generate profit - see our guide on how to price your products and services profitably
  • Decide how you will pay yourself: drawings, salary, or a combination
